PORT SOUNDS
Consultation Booking Terms
These booking terms explain how event enquiries, performance consultations, availability checks and booking arrangements are handled by PORT SOUNDS.
01. Booking Requests
Consultation and event enquiries must be submitted at least 1 full day before the requested consultation or performance date. Same-day consultation or booking requests are not available through the website.
A booking request is treated as an enquiry until the requested service, performer availability, event details and payment arrangements have been reviewed and confirmed.
Advance booking required. Please submit your request at least 1 day before the date you require. Same-day requests cannot be accepted.
02. Availability
Submitting an enquiry does not automatically reserve a performer or performance time. Availability is checked after we receive the event details.
We normally aim to respond to availability enquiries within 3 working days. During busy periods, additional time may be needed to confirm the most suitable performance option.
03. Event Details
To prepare a suitable quotation, we may need details such as the event date, location, approximate performance time, expected duration, event type and preferred music format.
Customers should provide accurate information when submitting an enquiry. If the event details change after a quotation has been provided, the quotation may need to be reviewed before the booking is confirmed.
- Event date and timing.
- Event location.
- Required performance duration.
- Preferred music format.
- Special performance requests.
04. Payment Arrangements
Payment arrangements are confirmed after the service requirements have been reviewed.
PORT SOUNDS does not require customers to complete payment through this website unless a specific payment facility is clearly made available for the relevant service.
After confirming the event details and service arrangements, customers will receive payment information and booking instructions through our official communication channels.
Available payment methods may vary depending on the service agreement, event arrangements and customer requirements.
The displayed service price is a starting price where stated. The final amount is confirmed after the event requirements have been reviewed and the requested service has been agreed.
05. Booking Confirmation
A booking is confirmed only after the service details, performer availability and payment arrangements have been agreed.
An enquiry, quotation or availability message does not by itself create a confirmed booking. Customers should wait for written confirmation before treating the performance as booked.
Where payment is required to secure a booking, the applicable payment instructions and any relevant deadline will be provided before the booking is confirmed.
06. Changes & Cancellation
If you need to change your event date, performance time, location or service requirements, please contact us as soon as possible.
Requests made at least 7 days before the scheduled performance will normally allow more time to review performer availability and make suitable arrangements.
Changes requested less than 7 days before the scheduled performance may not always be possible. Any revised arrangements will be confirmed with the customer before they take effect.
Cancellation requests should be made as soon as possible. Where a payment has already been made, any applicable refund or retained amount will be handled according to the booking arrangement confirmed for that service.
07. Performance Arrangements
Performance arrangements are based on the details agreed before the booking. This may include the performer type, performance duration, location, music format and agreed timing.
Customers should make sure that the venue is suitable for the agreed performance and that any venue-specific arrangements are communicated before the event.
If circumstances at the venue require a reasonable adjustment to the agreed performance arrangement, we will discuss the available options with the customer where practical.
08. Customer Responsibility
Customers are responsible for providing accurate event information and notifying us promptly about any changes that may affect the agreed service.
Customers should also make sure that the event venue, access arrangements and agreed performance area are available at the scheduled time.
Any venue requirements that could affect the performance should be discussed with PORT SOUNDS before the booking is finalised.
09. Service Disclaimer
PORT SOUNDS will make reasonable efforts to provide the agreed performance service in line with the confirmed booking details. Performer availability is checked before a booking is confirmed, but performance arrangements remain subject to the information and circumstances agreed for the event.
We are not responsible for delays, interruptions or changes caused by circumstances outside our reasonable control, including venue access restrictions, changes made by the event organiser, or circumstances that prevent the agreed performance arrangement from taking place as planned.
Where a significant change affects the agreed service, we will communicate with the customer and, where reasonably possible, discuss an appropriate alternative arrangement.
Nothing in these terms is intended to remove or limit any rights or protections that cannot legally be excluded under applicable UK law.
